Job Description

The Executive/Personal Assistant (PA) to the Chairman/Managing Director (MD) will provide high-level administrative. support

Key Responsibilities:

Meeting Support & Follow-Up:

  • Attend meetings with or on behalf of the chairman and take comprehensive notes.
  • Follow up on meeting outcomes and action items to ensure completion.
  • Manage documentation of all meeting discussions for future reference.

Calendar & Schedule Management:

  • Manage and maintain the Chairman’s calendar, ensuring optimal time management.
  • Schedule meetings, appointments, and calls, avoiding scheduling conflicts.
  • Provide daily updates and reminders about meetings and commitments.

Documentation & Data Processing:

  • Organize and document large amounts of data from discussions with various firms.
  • Prepare and format reports, documents, and presentations as required.
  • Assist in the preparation of proposals, contracts, and other official documents.

Communication & Coordination:

  • Act as the main point of contact between the chairman and internal/external stakeholders.
  • Handle incoming communication and correspondences for the chairman.
  • Coordinate travel arrangements and logistics for the chairman.

Administrative Support:

  • Assist with daily administrative duties and tasks as needed.
  • Manage filing systems and ensure proper documentation and archival.
  • Perform ad-hoc tasks as assigned by the chairman.

Requirements:

  • Bachelor’s degree in commerce or related field.
  • MBA is an added advantage.
  • Proven experience as a Personal Assistant or Executive Assistant.
  • Strong organizational and multitasking skills.
  • Excellent written and verbal communication skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Ability to process large amounts of information and data quickly and accurately.
  • Discretion and confidentiality in handling sensitive information.
  • Proven experience in documentation and proposal preparation.

Preferred Skills:

  • Experience in preparing business proposals and presentations.
  • Experience with calendar management and scheduling tools.
  • Ability to manage multiple priorities in a fast-paced environment.
  • Strong problem-solving skills and attention to detail.
